Overview

St. Francis College for Women is an Autonomous College under Osmania University. Autonomy provides the College the right to frame its own syllabi and conduct its own internal and end semester examinations. The Osmania University will confer the Degree with the name of the College.

The Examination Branch was established in the year 1988. The Branch, headed by the Principal in association with the Controller of Examinations, Additional Controller of Examinations, Examination Committee, Academic Admin, and Examination Branch Staff, ensures the smooth conduct of examination and evaluation processes.

The Branch has extensively evolved since its inception. The responsibilities of the Branch include:

  • Preparing and publishing the examination calendar
  • Planning for conducting internal and end semester exams
  • Handling grievances related to malpractice and other exam-related issues
  • Timely publication of results and issuing degree certificates
  • Reviewing and analyzing results and forwarding reports to concerned departments
  • Conducting regular meetings to plan, execute, and scrutinize the exam process
  • Online verification of student documents
  • Orienting newly recruited faculty regarding examination processes

Eligibility Criteria & Guidelines

Attendance

  • Attendance is marked every hour by the concerned faculty. A student is eligible to write the semester-end exam if she has 80% attendance in each subject (Theory and Practicals separately).
  • Those having 70–79.5% attendance will be allowed to write the semester-end exams on payment of a prescribed condonation fee.
  • Students having less than 70% attendance will not be allowed to write the semester end examination. And representation in this matter will not be entertained.
  • Attendance status can be checked on the student app. Message alerts regarding absence from college are sent to registered parent mobile numbers.

Minimum Passing Marks for UG/PG

  • 40% marks in the Semester-end Examination
  • 40% of marks in the Aggregate of Continuous Internal Assessment and Semester End Examination
  • There is no provision for an improvement exam.

Rules for Promotion

From Odd Semester to Even Semester: A student should have a minimum of 50% attendance in all subjects to be eligible for promotion to the next semester.

From One Academic Year to Another:

  • A student must earn a minimum of 25 credits (in academics) in one academic year to be eligible for promotion to the next year and 20 credits for PG.
  • For B.Voc (RM&IT) programmes, the student must earn a minimum of 30 credits to be eligible for promotion.
  • A student will be eligible for the award of a degree if she has passed in all the subjects and secured the minimum credits specified for the course over six semesters / four semesters of PG.

Maximum Time for Completion of Degree Program

  • UG degree programme has to be completed within 3 years from the date of admission. If the syllabus is revised, 2 more years are allowed for writing backlogs, with the old syllabus.
  • PG degree programme has to be completed within 2 years from the date of admission. If syllabus is revised, 2 more years are allowed for writing backlogs, with the old syllabus.

Evaluation Scheme

Continuous Internal Assessments and External End Semester Examinations are done as per the norms prescribed in Academic Regulations of concerned UG and PG programs offered by the College.

  • The evaluation system comprises two components: Continuous Assessments (40 marks) and Semester-end Examination (60 marks).
  • Continuous assessments include a written test (20 marks, 1-hour duration) conducted on scheduled dates as given in the Francisian Handbook. No retest is conducted except for those deputed by the college to participate in State/National sports events and NCC/NSS activities.
  • The remaining 20 marks of CIA are based on skill tests in the form of assignments, book reviews, seminars, group discussions, mini-projects, laboratory work, among others.
  • Semester-end examinations are conducted by the Examination Branch of the college. Paper setting and evaluation are done by external subject experts. Model papers are made available to the students.
  • Reporting to the examinations on time is important. A grace period of 30 minutes is allowed to enter the examination hall after which the doors are closed.

Semester Backlog Examinations

  • UG & PG theory and practical backlog examinations are held in the even semester only.
  • Semester backlog examinations can be taken only three times for a subject under the same syllabus. Thereafter, the student must appear under the revised syllabus, if applicable.
  • Non-CBCS: To be awarded I/II division for an undergraduate programme, a student must pass all papers within the stipulated 6 semesters. The year and month of passing are indicated in the consolidated memo of marks. Students with backlogs will not be awarded any division.

Malpractice

  • A student is guilty of malpractice if found copying, attempting to copy, or possessing incriminating material.
  • Cases of malpractice are investigated by a committee comprising the Principal, Controller of Examinations, and the concerned Invigilator.
  • If found guilty during internal assessments, the student will receive zero marks in that paper. In case of malpractice during semester-end exams, all papers mentioned in the hall ticket stand cancelled.

No Internal / Continuous Assessment for Practical Courses (UG & PG)

Revaluation

  • Revaluation applies to all theory subjects except practicals and one-hour papers.
  • Notification for revaluation is released by the Examination Branch on the day of result declaration.
  • Applications for revaluation after the last date will not be entertained.
  • Answer scripts are evaluated by two examiners independently.
  • If the average marks differ by ≀10% from original marks, the original marks are retained.
  • If the difference exceeds 10%, the average of the revaluation marks replaces the original score, and revised results are declared.

LoR Procedure

  • Download the LoR application form and email the filled-up LoR form along with the marks memo to the concerned lecturer who has agreed to write a LoR.
  • Faculty will email the LoR to the Exam Branch at verification@sfc.ac.in.
  • After due verification from the Exam Branch, the student will receive a mail from verification@sfc.ac.in.
  • A nominal fee will be collected for each LoR at the Exam Branch counter.
  • Contact your lecturer for his/her signature on the printed LoR.

Calculation of SGPA and CGPA

Credit Point is calculated as the product of Grade Points earned and the Credits assigned for a course.

Calculation of Percentage

Percentage of Marks = (CGPA + Conversion Factor) Γ— 10
Conversion Factor = (% of Marks – CGPA Γ— 10) / 10

Note

  • A student is entitled to acquire credits in a subject only on passing the course.
  • SGPA is calculated only for those passing in all courses.
  • Any discrepancy in the marks memorandum should be brought to the notice of the Examination Branch within 10 days from the date of issue. Please refer to the Download section for the form.

Grievances – Redressal

The Exam Grievance Committee is headed by the Principal. The Controller for Examination is the coordinator and conducts meetings every month to discuss exam-related issues of students. The committee consists of the Dean Academics, IQAC Coordinator, and senior faculty members. The Grievance Committee discusses and resolves issues as speedily as possible and mails the decision to the concerned students.

  • Any grievance regarding exams can be addressed by downloading the Student Grievance Form – Question Paper Related from the Downloads section.
  • Submit the filled form along with the question paper at the Exam Branch Counter immediately after the exam.

Note: Any grievance regarding question papers will not be addressed by any Faculty or Exam Committee during the Examination.

  • Collaboration with ITC Limited for recycling old answer scripts and procuring fresh white sheets in return.
  • All exam-related notices are sent online, reducing paper usage.
  • Onscreen valuation helps reduce paper usage and facilitates quick recycling of answer scripts.

Capacity Building Program

The Examination Branch Department organized a Capacity Building Program that featured an engaging Outbound and Zumba session for the Administrative Office Staff, IQAC Office Assistant, Examination Branch Members, and IT Team. The sessions were facilitated by Ms. Mini Fernandes, Assistant Professor from the Department of Biotechnology, and Mr. Alexi Chrislin, Gym Instructor and Zumba Trainer. The program was coordinated by Dr. Anitha Thomas, Controller of Examinations, and Sr. Dorine Prameela, Additional Controller of Examinations.

The sessions fostered a spirit of teamwork, energy, and rejuvenation, emphasizing the importance of collaboration and well-being in the workplace.

Guidelines for Benchmark Disability (SCRIBE)

Guidelines for conducting written examinations for Students with Benchmark Disability (RPWD Act 2016) as per the O.M. No.3402/2015-DD-III dated 29.8.2018 of Ministry of Social Justice & Empowerment, Department of Empowerment of Persons with Disabilities.

  • Students with benchmark disability should submit the Appendix I form (available at the Exam branch counter) and Disability Certificate from Govt. 15 days prior to the Continuous Internal Assessment.
  • Visually Challenged students should arrange for the scribe by filling Appendix II (Application for Scribe) available under the Download Section.
  • The educational qualification of the scribe should be that of an intermediate level and not higher.
  • Extra time of 15 minutes for 1-hour exam and 30 minutes for 2-hour exam will be given.
  • Students with disabilities (Hearing/Speech Impairment) are exempted from second language examination.
  • Pass percentage for such students is reduced to 30% of maximum marks.
  • Examination fee is waived for students with benchmark disabilities.

Guidelines for NCC, NSS & Sports Students

Continuous Internal Assessment:

  • NCC, NSS & Sports students representing college in National Level events must write CIA-1 (20 Marks).
  • If assessment is missed on the scheduled date, a re-exam will be conducted.
  • NCC students participating in RD Parade & international sport students are exempted from CIA. Proportionate marks from the external exam will be awarded.

End Semester Examination:

  • Registration for End Semester Examination is compulsory for NCC, NSS & Sports students.
  • RD Parade & international sports students representing college can write the end semester exam later, which will be considered as regular Examination (ONLY ONCE).
  • Students missing the rescheduled Examination must apply for Supplementary.
